Renewals
When a renewal invoice is issued, when the reminders go out, how account credit is used, and how to stop a service renewing.
Last reviewed 2026-10-04
Services are paid for in advance, for the whole of the term you chose: monthly, quarterly or annually. A renewal invoice is issued before each term ends.
The timeline
| When | What happens |
|---|---|
| 7 days before the term ends | The renewal invoice is issued. You get a Discord message. |
| Inside 3 days of the end | A reminder, if the invoice is still unpaid. |
| The day the term ends | The invoice is due. |
| Shortly after, if unpaid | The service is suspended. |
| 24 hours after suspension | A final notice before deletion. |
| 48 hours after suspension | The service and its data are deleted. |
The due date is the expiry date of the service. There is no grace period beyond the short settling window after it.
See Expiry, suspension and deletion for what happens at each stage of the second half of that list.
How it is paid
- The renewal invoice is issued before the current term ends.
- Any available account credit is applied to it, oldest credit first.
- Whatever remains is charged to the payment method on file.
- The service renews and the next expiry date moves forward one cycle.
If there is a card on file, you normally do nothing. Stripe charges it and the service carries on.
If there is no card, or the charge fails, the invoice sits as Due and you pay it yourself from Invoices. See Invoices and paying.
Where to check a service's renewal
Open the service and click Billing. It shows the billing cycle, the recurring amount, what that works out to per month, whether automatic renewal is on, the next renewal date and the order it came from. Below that are the invoices that reference the service.
Everything on that page is read only.
The client area Overview also shows Renewing this week when something is within seven days, and the Services list shows a renewal date on every card.
Changing the term
A longer term is cheaper: 5% off quarterly, 15% off annually.
You can change term at the next renewal, but the panel does not do it. Email [email protected] before the renewal invoice is issued and we will set it up. A change takes effect at the end of your current term, not in the middle of it.
Stopping a renewal
There is no off switch in the client area. Two ways to do it.
Through Stripe. Open Balance in the client area and click Payment methods. That opens Stripe's billing portal. If cancellation is offered there, cancelling the subscription stops the renewal, and we pick that up automatically. You get a Discord message confirming it, and the service keeps running to the end of the term you have already paid for.
Ask us. Email [email protected] with the service name and say you want it to stop renewing. That is the reliable route.
Either way the service runs to the end of the paid term, is then suspended, and its data is deleted 48 hours after that. If you want anything off it, take it off before the term ends.
Discord messages you will get
All of these go to you as a direct message on Discord.
- Renewal invoice issued, seven days out
- Renewal due soon, inside three days
- Payment received, and service restored if it had been suspended
- Payment failed
- Service suspended
- Final notice before deletion
- Service terminated
- Automatic renewal cancelled
- Credit added to your balance
They are sent by our bot, so you need to be in our Discord server and accept direct messages from it. Stripe emails its own invoice and receipt separately.
